OFFICE HOURS: 35 Hour Work Week (Mon, Wed, Thu 8-4; Tues 8-7; Fri 8-12)

GENERAL SUMMARY:


Under general supervision of the Town Accountant, performs a variety of general accounting and clerical support functions to assist the Town Accountant in all department operations.


ESSENTIAL JOB FUNCTIONS*:


  • Processes weekly accounts payable warrants; reviews each invoice submitted for completeness and accuracy, prepares vendor checks and related documents for weekly accounts payable warrant.
  • Maintains lists of vendors and files related to bids and contracts.
  • Maintains W-9 forms and insurance certificates for all vendors.
  • Assists Town Accountant in maintaining general ledger accounts and all Town financial transactions.
  • Assists Town Accountant in the preparation of 1099�s and annual provider reports for the state of Massachusetts.
  • Prepares weekly accounts payable warrants, post appropriations, purchase orders, receipts, updates vendor lists and prepare monthly trial balances.
  • Provides technical assistance to other Town departments related to account activity, and the operation of MUNIS (town�s financial software).


· Assists Town departments in the resolution of payment disputes and billings errors including working with vendors to resolve billing issues.


  • Serves as a backup for processing the Accounting portion of Town�s weekly payroll; maintains current files of all personnel changes and keeps abreast of union contract changes.


OTHER DUTIES AND RESPONSIBILITIES:


  • Maintains and updates accounting records and filing systems.
  • Provides monthly revenue and expenditure reports to all Town departments and committees.
  • Notifies departments of outstanding purchase orders on a regular basis.
  • Produces account transaction information as requested.
  • Performs filing, organization, and other office related duties as assigned.


SKILLS/EXPERIENCE/TRAINING REQUIRED


· Duties require knowledge of computerized data entry and municipal accounting equivalent to one year of post-secondary education and two to four years of related accounts payable experience in a municipal environment.


· Ability to perform detailed work accurately and efficiently within deadlines.


· Ability to prioritize tasks and deal effectively with interruptions.


· Ability to communicate clearly and concisely with others both verbally and in writing.


· Ability to interact effectively and tactfully with a wide variety of individuals including vendors, department personnel and other customers.


· Ability to understand, interpret and explain department procedures to town departments and external sources and apply procedures appropriately to a variety of situations.


· Knowledge of computerized applications including accounts payable software and Microsoft Office applications.


· Regular and timely attendance is required.


WORKING CONDITIONS:


· Normal office environment not subject to extremes in temperature, noise, etc.


· Occasional interruptions to assist internal and external customers on the telephone.


· May spend extended periods of time at computer terminal, at desk or on the telephone and operating other office/computer equipment requiring eye-hand coordination and finger dexterity.


· Occasional lifting, bending and carrying of files, documents and records.
